Responsibilities:

  • A personal and professional assistant to the agency executives
  • Aid executive in preparing for meetings
  • Contribute to Caster internal PR needs – press releases, awards, PR opps for agency
  • Coordinate and schedule calendar appointments
  • Cross administrative responsibilities general office support to specific executive tasks
  • Daily and weekly timesheets, job forms, status reports
  • Database management: research, build & create lists, edit & scrub lists, updates, etc.
  • General errands and ad hoc agency tasks
  • Handle all incoming and outgoing communications
  • Manage cross-agency vendor services, act as technical and customer support liaison for the team
  • Note-taking on calls, transcriptions, provide to the team
  • Organize team files & platforms structured and updated
  • Plan and assemble Caster Status agenda, annual meetings, outings, events
  • Proofread, edit, and clean documents as needed
  • Responsibilities such as answering the phone, shipping, filing, and general office organizational tasks
  • Schedule travel, show, and webinar registry
  • Intern program: management of hiring and securing two interns per school semester including all documentation
  • Basic HR support: job postings, scheduling, reference checks
  • Vendor support – logistics for agency suppliers and service providers
  • Accounting support – liaison with external accounting team for documents

 Qualifications

  • Associate degree or higher, or related administrative/technical training
  • Incredible organizational, research, and project coordination skills
  • Knowledge of social platforms: Twitter and LinkedIn
  • Proficient with Office Suite 365, Teams, Zoom, Dropbox, Adobe, Canva, and quick learner on new programs such as Freshbooks, Expensify, MuckRack, etc.
  • Minimum of 3 years of Microsoft Office experience, Microsoft Outlook & Calendar experience a must
  • Interest and willingness to produce, manage, and post content to corporate social media platforms
  • Speedy, high energy, office experience, solid work ethic, humble, helpful

Compensation and Benefits:

  • Full-time annual salary
  • Eligible in 2022 for Caster’s performance bonus program which can be up to 5% of annual salary
  • Monday-Friday business hours averaging 40 hours a week (9:30 – 5:30 pm ET)
