6 Things I Learned Running Operations at a PR Agency

Operations for PR agency

The best PR agency-client relationships are built on alignment from the start. From the agency contract and scope of work to the long-term PR strategy, this sets the foundation for a good working relationship between all parties.

Here are six things that I’ve learned while running the operations for a technology-focused PR agency.

Who this is for: CMOs/Marketing leads hiring PR, tech company founders, and product leads

1 - Speed is a competitive advantage. Clients who can approve quickly, act on opportunities, deliver assets on time, and provide timely feedback consistently get the most value from their retainer.

Takeaway for our clients: PR momentum is fragile. Stop-start communication can derail even the most efficient teams. Decisive clients allow us to build early momentum, which ultimately drives stronger campaigns, launches, and results.

2 - Early buy-in sets the tone for everything. When clients fully understand and align on what the program includes from the start, everything runs more smoothly.

Takeaway for our clients: Clear expectations upfront reduce rework, prevent misalignment, and allow teams to focus on execution instead of course correction.

3 - Strong campaigns are built behind the scenes.  As the person responsible for making sure our team is working as efficiently as possible, I can tell you that great PR outcomes are driven by what happens internally. That includes assigning the right team members, structuring time effectively, and ensuring each person is focused on the right priorities.

Takeaway for our clients: Operational alignment is what turns strategy into results.

4 - Consistency builds authority. Big hits are great, but consistency is what builds real credibility over time. Clients who maintain a steady cadency of news, insights, and activity create more opportunities for ongoing coverage.

Takeaway for our clients: Long gaps between announcements can stall momentum and make it harder to sustain visibility. and delays hinder progress and can stop the momentum in its track.

5 - Calendar visibility is more important than you think. As someone who relies on calendars to get through each week, I have to be confident my team’s calendars are accurate and up to date. Accurate, up-to-date calendars (on both the agency and client side) make it easier to plan launches, coordinate meetings, and identify opportunities without unnecessary back-and-forth.

Takeaway for our clients: Lack of communication and visibility slows everything down.

6 - Some of the most impactful work is invisible.  Everyone thinks their job is the most important. And honestly? I really do believe mine is. A lot of what makes a PR program successful never gets seen.

Takeaway for our clients: Managing expectations, ensuring financials are in order, and maintaining team morale are all critical to long-term success. A big part of my job is to make sure we all still enjoy each other. Team morale doesn’t just happen.

At the end of the day, strong PR programs are driven by alignment, consistency, and execution. Operations sits at the center of all of it, ensuring that strategy turns into measurable results.
